Sending mass unsolicited emails to the Claim Listings or an imported contact list would be considered SPAM, which is illegal by US law and would likely result in the blacklisting of future emails from the domain. In some cases, sending SPAM messages may lead to damaging the other sites on the server and can also lead to the termination of an account with Brilliant Directories.

  1. Navigate to Emails - Send Newsletter:



  2.  Click on New Email Newsletter:


  3. Enter a name for this campaign into the “Campaign Nickname” field:



  4. Select an email template from the “Email Template:” drop-down:



  5. Select the total number of emails to be sent in this campaign in the “Total Emails to Send": This is a setting to regulate the number of emails to send at once. For example, to send out emails to only 100 members of a certain contact list, choose 100 in this field, and then select the contact list to send to. 



    The maximum number of recipients using the default SendGrid integration is 1000. It is possible to increase this limit to unlimited  by setting up a personal SendGrid account. To learn more about this check out: how to connect Sendgrid account.


  6. Choose the Advanced Options:



    Email even if recipient already received this email template: By default, email addresses will only be sent an email template once. If an email address is added to a list to be sent the same email template again, it will be excluded by default.


    When this option is checked, the system will override this default functionality and send the email template to email addresses that have already received it in the past.


    It is generally best to leave this option un-checked. In order to send an email template to a list of members who have already received it, we recommend cloning the email template and saving it with a new name to send it again. This allows for better segmentation for each batch of emails and will prevent an email address from receiving duplicate emails in the same batch.

    DO NOT send to same-domain: The system will check for email accounts that match the website's domain, if the system identifies these accounts, it will block emails going to those inboxes. This will prevent the emails to be sent to members whose email use the same website domain and that may be inactive.


    DO NOT send to already existing members: When this option is checked, the system will first check if each email address is associated with a member, and if it is, skip sending the email to them.


    The purpose of this setting is to only target non-member email addresses. For example, this option could be selected when sending an email newsletter inviting user who have signed up for the newsletter to sign up as members as well. Selecting this option will ensure the email will only be sent to non-member email addresses.



  7. Underneath the “Select Contact Tags to Send To:” area, click on the checkbox next to the Contact List(s) and/or Member List(s) which will be the recipients of this campaign, these may include: Website Contacts, Account Status Tags and Smart Lists.



  8.  Once Saved continue back to the "Send Newsletter" tab in the admin, this will show the campaign name, email template, selection of advanced options, contact tags, lists and qualifying recipients.

    The qualifying recipients is the number of valid unique email addresses that will receive the newsletter across all the selected contacts and smart lists.


    The qualifying recipients will remove any duplicate, invalid, same-domain, unsubscribed email addresses from the combined list to provide an accurate number of email addresses that will receive the newsletter.





  9. Send the email campaign whenever ready:

    If there is a connection error before the newsletter delivery is completed, the sysem will pause the process:



    Clicking on "Resume Sending" will complete the delivery.



  10. Notes About The Email Campaign Options:

    Total Emails to Send


    When using the default sendGrind integration if the limit has been reached a pop up message will show:


    Another message will show if the Campaign Limit has been reached:



    When using personal SendGrind Credentials, keep the window open until it finishes sending the newsletter to all the recipients.


    Delivery Frequency: Pause Campaign after this batch will mark this campaign as being "Paused" after the number of emails set in the "Total Emails to Send" field has been reached and will not continue sending out any more. If selecting "Continue campaign...", then the email campaign will pause after the first batch is sent out and then resume a short time later. It will continue to do this until all of the emails have been sent out.



    TIP: If an email campaign has been scheduled and it is not being sent, navigate to the Email Campaigns page (Emails >> Email Campaigns) and click on the "Send Now" button for the campaign to send it immediately.



    Email Results Categories

    Deferred
    A deferral occurs when an ISP is for some reason not ready to accept email from the IP address. Instead of blocking or bouncing the message, the ISP will defer receiving the message and wait for the email to be resent. An ISP may do this because it does not recognize the IP from which a message originates; or it could just be that their system is operating in such a way that they cannot accept the email at that specific time. If, upon resending, the ISP determines that it is ready to trust the site as a sender or their system operations are back to normal, the email will be accepted as normal. The software will retry delivery of a deferred email on behalf of our customers for 72 hours from the time of the first deferral.

    Dropped
    In certain cases, the software will “Drop” a message to a specific email address in order to protect the sites sender reputation. The software keeps Email Lists to track bounces, spam reports, and unsubscribes for each of our users. If a user sends a message to an email address that exists on one of these lists within their account, the software will automatically drop the message (i.e., not send to the address).
